2.8. Academic Leave

Study leave is regulated based on the Rector’s Decree of UGM Number 2 of 1993, dated September 1, 1993, concerning Guidelines for Study Leave for Universitas Gadjah Mada students. The provisions for academic leave for students are as follows:

  1. Academic leave is a condition where a student is not registered as a Universitas Gadjah Mada student for one semester or more.
  2. Academic leave is allowed after obtaining written permission from the Dean of the Vocational School or the Rector of Universitas Gadjah Mada.
  3. Students are allowed to apply for a total leave of up to two years (4 semesters) during their study period, either taken at once or accumulated each semester.
  4. An application for a 2-semester leave must be accompanied by written permission from the Dean of the Vocational School, while a leave exceeding two semesters up to a maximum of four semesters must obtain special permission from the Rector upon the Dean’s proposal.
  5. Leave applications must be submitted no later than 1 month before the end of the related semester registration.
  6. Leave applications can only be made after the student has completed the first two years of their study as a new student. Students who wish to resume active studies after taking academic leave must follow the following steps:

Submit a letter of request to resume active studies to the Dean (for those who previously obtained leave permission from the Dean) or to the Rector (for those who previously obtained leave permission from the Rector). This request letter must be submitted no later than 1 month before the start of the relevant semester.
  8. Apply for reactivation through the SIMASTER portal and upload supporting documents (if any).
  9. Perform re-registration by showing the letter of permission to resume active studies and Student ID Card at the UGM Registration Office and make the UKT payment.
  10. The period for applying for reactivation must follow the regulations set by the University and be in line with the academic calendar. More detailed provisions regarding academic leave can be found on this page.
